This Policy establishes the legal framework governing cancellations, amendments, and refund entitlements for reservations facilitated through our Services, including flights, hotels, cruises, and car rentals.

Reservations.us functions strictly as an online travel aggregator and booking facilitator. We do not own or operate airlines, hotels, cruise lines, or car rental fleets. Fulfillment of travel services is carried out by independent third‑party providers (“Providers”) in accordance with their own terms and conditions. This Policy must be read in conjunction with the Provider’s specific cancellation and refund rules.

2. Dual Policy Applicability and Hierarchy

Every reservation confirmed through Reservations.us is subject to two concurrent sets of policies:

  • Company Administrative Policy (This Document): Governs the procedural aspects of cancellation requests, assessment of non‑refundable administrative service fees, and communication methods between the User and our support team.
  • Provider Policy: Represents the primary authority regarding fee structures, refund percentages, notice periods, and eligibility criteria based on the specific fare, rate, or promotion selected at booking.

Governing Priority: In case of conflict, the Provider’s policy shall prevail regarding refund eligibility and net amounts.

3. Formal Cancellation Procedures

Initiation of Request: All cancellation requests must be initiated via the designated account portal on the Website or through verified written communication to our customer support team. Requests must be submitted by the primary traveler named on the reservation.

Effectiveness of Cancellation: A cancellation is legally recognized only when Reservations.us issues a unique Cancellation Reference Number. The timestamp of this number serves as the official record for penalty calculations.

4. Multi‑Tiered Cancellation Fee Structure

Cancellation penalties generally comprise two components:

  1. Company Administrative Service Fee: A non‑refundable fee imposed by Reservations.us for processing cancellations, including navigating Provider systems and managing digital reversals. This fee is separate from Provider penalties and is non‑waivable.
  2. Provider Penalty: Determined by the Provider’s published schedule of penalties. These penalties typically increase as the departure or check‑in date approaches and may reach up to 100% of the total fare.

5. Refund Eligibility and Calculation

Refunds are calculated as:

Refund Amount = Total Prepaid Amount – (Provider Penalty) – (Company Administrative Service Fee) – (Non‑Refundable Taxes/Fees)

Non‑Refundable Items

  • Reservations.us booking and cancellation service fees.
  • Non‑refundable fares, rates, or deposit promotions.
  • Government‑imposed taxes and fees already remitted.
  • Costs associated with personalized services (e.g., excursions, spa packages, onboard amenities, insurance).
  • Reservations denied due to failure to present valid passports, visas, or mandatory health certifications.

6. Domain‑Specific Rules

Flights

  • Refundable vs. Non‑Refundable Tickets: Most promotional fares are non‑refundable. Refundable fares may allow cancellation subject to airline rules.
  • 24‑Hour Cancellation: Certain U.S. carriers permit cancellations within 24 hours of booking if the flight is at least seven days away.
  • No‑Show: Failure to board without cancellation results in forfeiture of the ticket.
  • Schedule Changes: Airlines may alter schedules; remedies are governed by airline contracts of carriage.

Hotels

  • Rate Plans: Refundability depends on the rate plan (e.g., standard vs. non‑refundable).
  • Cancellation Deadlines: Penalties apply if cancellation occurs after the deadline.
  • Deposits and Incidentals: Hotels may require deposits at check‑in; these are non‑refundable if unused.
  • No‑Show: Failure to check‑in results in forfeiture of prepaid amounts.

Cruises

  • Penalty Escalation: Cruise cancellation penalties increase closer to departure, often reaching 100% within 30–90 days.
  • Promotional Fares: Non‑refundable deposit fares are strictly non‑refundable.
  • Port Taxes and Fees: Government charges already remitted are non‑refundable.
  • Denied Boarding: Failure to present valid documentation results in forfeiture of all amounts.

Car Rentals

  • Prepaid Rentals: Strict cancellation rules apply; no‑show penalties may equal full payment.
  • Early Returns: Refunds for unused rental days are subject to Provider discretion.
  • Deposits: Security deposits may be non‑refundable if terms are violated.
  • Geographic Restrictions: Cross‑border travel may invalidate refunds if prohibited.

7. Refund Processing and Currency Protocols

Method of Reversal: Refunds are directed back to the original form of payment used during the initial transaction. Refunds cannot be issued to alternative accounts.

Processing Timelines: Refunds typically require between fifteen (15) and thirty (30) business days for hotels, cruises, and car rentals, and up to sixty (60) to ninety (90) days for flights, depending on Provider reconciliation. Reservations.us disclaims liability for delays caused by financial institutions.

Currency and Exchange Risks: Refunds are processed in the original transaction currency. We are not responsible for variances due to exchange rate fluctuations or foreign transaction fees imposed by banks.

8. Amendments, Modifications, and Name Changes

Administrative Amendment Fees: Any request to modify a confirmed reservation—including flight reissues, hotel date changes, cruise cabin upgrades, or car rental extensions—is subject to a Company administrative amendment fee per traveler.

Rate Adjustments: Travel pricing is dynamic. If an amendment results in a higher fare or rate, the User must pay the difference immediately. If it results in a lower fare, any refund is subject to Provider policies and may be issued as credit rather than cash.

Name Corrections vs. Substitutions: Minor spelling corrections may be permitted without penalty, but full substitution of one traveler for another is often treated as a cancellation and subject to penalties.

9. Force Majeure

Reservations.us shall not be liable for cancellations or refunds arising from events beyond our control, including natural disasters, strikes, pandemics, civil unrest, war, terrorism, or governmental actions. Remedies, if any, are determined by Provider policies.

10. Chargebacks and Disputes

Chargebacks: Users must contact Reservations.us to resolve billing or service disputes before initiating a chargeback. Improper chargebacks may result in cancellation of bookings and recovery actions.

Dispute Resolution: Any disagreement regarding refund calculations or application of this Policy must first be addressed through our Customer Service department. If unresolved, disputes shall be governed by the arbitration and class action waiver clauses set forth in our Terms & Conditions.

11. Governing Law and Jurisdiction

This Policy shall be governed by and construed in accordance with the laws of the State of Florida, United States, and applicable federal law. Venue for all proceedings shall be Winter Springs, Florida.
